Top Tips for Planning an Outdoor Event

With some careful and ambitious forward planning you can be confident that you’ve got all bases covered.

Not only will your event pass without a hitch but you’ll actually wow your guests and create some unforgettable memories. Keeping things simple yet effective is the key.

Choose the right marquee

You can choose from a range of beautiful marquees.

Do you need a giant traditional and picturesque marquee to stand proudly in the centre of a field?  Would you like it festooned with traditional bunting and flags? Are you hosting several hundred guests, or is it a more intimate affair with less than a hundred? Traditional marquees are obviously crowd pleasers and the high-ceilinged sweep of the canvas compliments a classic and elegant style.

Depending on the type of event you are hosting perhaps a modular marquee pod is more appropriate? With a modular pod you can create a truly bespoke space for your guests.  These pods allow you to design a layout that fits your event perfectly.  You can choose from hexagonal, square, diamond and triangular pods. Putting them together is actually fun and straightforward and you can even add an extra triangle or diamond to give your guests some extra space.

You can also open walls to connect the inside to the outside. No more losing guests, and you can really tie the two spaces together beautifully!

Alternatively, if you’re hosting a slightly more corporate affair, a product launch, conference or something in-between then a stretch tent will really give you the wow factor.  Stretch tents provide a stylish, sculptural look that will impress your guests no end. Stretch tents are currently very popular and look spectacular when creatively lit from the outside at night.

Don’t forget the extras

Seating is an integral part of the day which is all too forgotten. Not just in terms providing enough comfortable seats for your guests but also in terms of style. Choose chairs which you think will impress your guests stylistically and ones which fit in nicely to the theme of your day.

Consider how you plan to supply electricity to the marquee. How many installations need a power supply?  Do you have speakers? A DJ set? Monitors? Microphones? Internal lighting? A well-located generator might make all the difference.

Do you need a staffed bar?  Perhaps you’ll need a large sturdy dance floor for later on in the night?  Deciding exactly where these things will be located will make things that much easier later on in the day.

Weather

Consider the very worst case scenario in terms of weather. Monitor up until the very last moment –  remember there is no need to cancel your event so long as you prepare for every last eventuality.

Are there routes on the land that will withstand torrential rain? Are leaning trees close to the marquee?  Will they cause issues in a high wind? Will disabled or emergency access be adversely affected in the rain? Is there an alternative access point for vehicles that won’t be affected by sodden muddy ground?  Will outdoor heaters be necessary if the temperature suddenly drops?

By preparing for the very worst case scenario you’ll have all bases covered – and the extra resources you pull together to deal with the inclement weather will at the very least impress your guests no end.

Luxury loos

Don’t think that toilets need to be functional only! Providing luxury loos for your guests is actually a fantastic opportunity to leave your guests pleasantly surprised.  Good luxury loos are chic, smartly designed and warm.  Thy should be well stocked with perfume and soaps and high quality towels. Additionally, they should come with relaxing background music and full length, well-lit mirrors.

There’s no need to worry about a water supply either, luxury loos come with their own tanks making the whole operation that bit easier.

With opulent loos, your guests will forget they’re in the middle of a field!

Lighting

Spend some time thinking about creative lighting for the outside of your marquee.  Once you see the effects that you can get from mixing interesting angles and colours schemes you’ll realise it’s the icing on the cake. Make you sure you plan to get some photos from a distance as you’ll want to cherish the results.

We had Mortons marques for our daughters wedding. With 200 guests we had 5 pods, a 5×5 square for the bar area and another as the entrance.

The seating for the guests wrapped round the dance floor giving a wonderful view to all and creating a great atmosphere. Mortons were so helpful always at the end of the phone and the whole day and all preparations went to plan. We would definitely use them again.
